Definitions: In these Terms & Conditions:
“We”, “Us”, “Our” refers to Aishafin Travel (ABN: 46 269 770 294), its employees, and authorised agents.
“You”, “Your”, “Client”, “Customer” refers to the person making the booking or receiving services and advice from Aishafin Travel, and all travellers named on the booking.
“Supplier”, “Service Provider” refers to the third-party company providing the travel service (e.g., the airline, hotel, cruise line, or tour operator).
“Booking” refers to the arrangement of travel, education, or visa services made by us on your behalf.
Terms & Conditions – Aishafin Travel
These Terms & Conditions govern your relationship with Aishafin Travel and the services we provide, including travel bookings, education consulting, and international visa assistance. By engaging our services, browsing this website, or making a booking (both online and offline), you agree to be bound by these terms.
We act as a specialised concierge, connecting you with the world’s finest airlines, cruise lines, hotels, tours, and education institutions. Our services include processing visa applications for international destinations (excluding Australian immigration advice) and assisting with student enrollments for institutions both within Australia and overseas.
Our role is to ensure your journey—whether for leisure, pilgrimage, or study—is seamless and transparent. Please read the following conditions carefully to understand your rights and obligations, including our policies on payments, cancellations, and our Best Value Promise.
Agency Disclaimer
Aishafin Travel operates as an independent agent, facilitating bookings and services on behalf of airlines, cruises, accommodation providers, tour operators, education institutions, and other third-party suppliers.
Role: Our role is to coordinate and confirm arrangements between you and these providers. While we take care to work with reputable partners, we do not own or control the services they deliver.
Liability: To the extent permitted by law, we cannot guarantee the quality, reliability, or performance of any third-party service. All bookings are subject to the terms and conditions set by the respective providers.
Disruptions: If a provider fails to deliver the agreed service, any claims or remedies must be directed to that provider. Aishafin Travel is not liable for disruptions, cancellations, or missed connections—particularly in cases involving multiple airlines or split-ticket combinations—where delays by one provider affect the overall itinerary.
Diversity & Fair Use Policy
Aishafin Travel is committed to providing inclusive and equitable services to all clients. To ensure fairness for everyone:
All policies, terms, and conditions outlined by Aishafin Travel apply universally and are enforced without exception, regardless of race, ethnicity, nationality, religion, gender, age, disability, or any other aspect of diversity.
By engaging with our services, you acknowledge and agree to abide by these terms in full. We do not offer exemptions or preferential treatment based on background or affiliation.
COVID-19 and Global Events
Due to the ongoing impact of COVID-19 and other global events, travel plans may be subject to sudden changes.
Aishafin Travel is not responsible for any additional costs incurred due to cancellations, delays, border closures, or changes resulting from such circumstances.
All decisions to travel are made at your own discretion and risk.
Travel Documents
Travel documents—such as airline tickets, cruise fares, hotel vouchers, or electronic confirmations—are subject to specific supplier terms, including being non-refundable or non-changeable.
Names: Documents are strictly non-transferable. All tickets must be issued in the exact name as shown on the traveller’s passport / government issued ID. Discrepancies may lead to denied boarding.
Accuracy: It is your responsibility to ensure all personal details are accurate at the time of booking. Any unreported errors will be your responsibility to correct (and pay for).
Collection: Travellers must ensure they have received and reviewed all required travel documents from us prior to departure.
Verification: We reserve the right to request verification of any documents related to travel or immigration services to ensure authenticity and prevent fraudulent activity.
Pricing
All prices are subject to availability and may change, be withdrawn, or varied without prior notice.
Guarantee: A quoted price is only guaranteed once full payment has been received and tickets / itineraries have been issued.
Variables: Prices may vary due to factors beyond our control, such as currency fluctuations, fuel surcharges, changes in government taxes, or increases in airfares.
Best Price: For the most accurate and up-to-date pricing, we recommend contacting one of our consultants directly.
Professional Service Fees
In addition to the cost of the travel products (airfares, cruise fare, hotels, tours, etc.), Aishafin Travel charges professional service fees to cover our consulting, itinerary planning, and administrative costs.
Schedule of Fees: Unless otherwise included in your package quote, the following service fees may apply:
Domestic Flight Bookings: Service fee applies per ticket or per person.
International Flight Bookings: Service fee applies per ticket or per person.
Visa Assistance: Fees apply per application/passport (regardless of the outcome).
Education Consulting: Fees apply for enrolment processing and student counseling.
Urgent / After-Hours Service: A surcharge may apply for bookings requested outside of standard business hours or for departure within 24 hours.
Note: Specific fee amounts will be communicated to you by your consultant prior to payment.
Non-Refundable Nature of Fees: All professional service fees are strictly non-refundable under any circumstances.
Work Performed: Once the service has been provided (e.g., ticket / itinerary issued, consultation held, or visa application lodged), this fee is considered “earned” by Aishafin Travel for the time and expertise provided.
Force Majeure & Supplier Failure: This non-refundable policy applies even if the travel is subsequently cancelled due to events beyond our control. This includes, but is not limited to:
Political unrest, war, natural disasters, or government-imposed border lockdowns.
Pandemics, epidemics, or changes in immigration/health laws.
Third-party supplier insolvency, bankruptcy, administration, or cessation of business operations.
Payments & Deposits
Deposits & Ticketing: A minimum deposit of AUD $50.00 per person is required at the time of booking to secure your quote.
All deposits are strictly non-refundable. However, the initial $50.00 deposit may be held as a credit toward future bookings made within six months of the deposit date, unless otherwise advised.
Additional deposits may be required by specific airlines, cruise lines, tour operators, or other service providers.
Certain promotional airfares and “Instant Purchase” rates require full payment immediately at the time of booking.
Payment Deadlines: Prices are not guaranteed until full payment has been receipted and tickets issued.
Bank Transfers: If paying via internet bank transfer, funds must be cleared in our account by the due date. Please initiate payment at least 48 hours prior to the deadline. You must email your payment receipt to your consultant for confirmation.
Late Payments: We are not responsible for price increases or cancellations resulting from late payment clearance.
Credit Card Surcharges: Payments made via Credit or Debit card attract a merchant service fee, which is passed on from our financial institutions. This fee is non-refundable under any circumstances, even if the booking is cancelled or refunded.
Visa & Mastercard (Australian issued): 1.5% – 1.7%
American Express (Australian issued): 1.8% – 2.0%
International Cards (Non-Australian issued): 3.4% – 4.0%
Card Security & Chargebacks: To prevent fraud, the credit/debit cardholder must be one of the travelling passengers.
If the cardholder is not travelling, they must be physically present in our office to sign a “Cardholder Authorisation Form.”
We do not accept third-party remote payments. We reserve the right to reject any transaction at our discretion.
Chargeback Policy: By paying Aishafin Travel via card, you agree that you will not initiate a chargeback or dispute for valid services rendered or for non-refundable supplier cancellations.
Bookings Verifications (Online & Offline)
All bookings—whether made automatically via our website or manually through our consultants—are subject to strict security verification. To protect against fraud, we reserve the right to request identification before confirming any ticket or service.
Verification Requirements: We may ask you to provide further proof of identity and payment authorization. This may include:
A clear copy of your valid government-issued photo ID (Passport or Driver’s Licence).
Proof of ownership of the Credit / Debit card used for payment (e.g., a photo of the card with the middle digits redacted).
Cardholder Policy: For your security, the name on the Credit / Debit card must match the name of a travelling passenger.
We generally do not accept third-party payments (using a card belonging to someone who is not travelling) unless explicitly approved by management with a signed authorisation form.
Please be aware that airlines and service providers reserve the right to ask for the physical credit / debit card used for the booking at the time of check-in. If you cannot produce the card, boarding may be denied.
Right to Refuse: We reserve the right to refuse any booking or payment that we deem fraudulent or high-risk. In such cases, the booking will be cancelled and funds returned to the source account.
Service Charges: Certain fares and booking types (both online and offline) may incur a booking fee or service charge. These will be clearly displayed or communicated to you prior to payment.
Baggage Allowance
Baggage policies may vary depending on the airline, cruise line, third-party service provider, and destination. Please consult your travel consultant or the relevant provider’s website for specific baggage allowances and restrictions.
Reconfirmations & Check-In
We recommend arriving at the airport at least 3 hours prior to departure for international flights and 2 hours for domestic flights. It is also advised to reconfirm your flight with the airline at least 72 hours before departure, as schedules may change without prior notice.
Please note:
Online check-in may not be available for bookings involving multiple airlines.
Online check-in may also be unavailable at certain airports, cruise ports, or with specific service providers.
Failure to reconfirm flights or arrive on time may result in cancellation or denial of boarding.
Aishafin Travel is not liable for any missed flights, services, or additional costs incurred due to late arrival, no-show, or failure to comply with airline or cruise check-in and reconfirmation requirements.
Travel Insurance
Travel insurance is strongly recommended. Aishafin Travel may act as a distributor for insurance providers but does not offer financial advice. Please read the Product Disclosure Statement (PDS) before purchasing.
Migration & Visa Services
Aishafin Travel offers support with international visa applications (e.g., for tourism, Hajj/Umrah, or overseas study) and education consulting, including enrolment assistance for students. We operate strictly as administrative facilitators and do not influence or take responsibility for decisions made by immigration or government authorities.
Important Notice: (Australian Immigration) At present, Aishafin Travel does not provide legal advice or assistance regarding Australian migration or visa applications.
For matters relating to Australian visas, citizenship, or migration pathways, we will refer you to a Registered Migration Agent (RMA), or you may choose to consult one directly.
For more information, please visit the Department of Home Affairs (DHA) and the Office of the Migration Agents Registration Authority (OMARA).
Note: We anticipate launching a dedicated Australian Immigration division in the near future, as we are currently in the process of obtaining official registration with OMARA.
Cancellations & Refunds
Supplier Fees: Cancelled bookings may incur fees of up to 100% of the total booking cost, depending on the fare rules of the airline, cruise line, hotel or service provider.
Agency Fees: To cover the cost of our consulting, booking, and administrative services, Aishafin Travel reserves the right to charge a cancellation fee of 15% of the total booking value (capped at a maximum of AUD $750.00 per person, ticket or service). This fee is in addition to any penalties charged by the supplier.
Refund Processing: Refund eligibility is determined solely by the third-party supplier. Aishafin Travel cannot guarantee a specific refund time frame, as airline and supplier processing times typically vary between 6 to 12 weeks.
Note: Credit card surcharges and initial service fees are non-refundable.
Changes & Reissues
Change Fees: Voluntary changes to bookings (such as date, name, or route changes) will incur an administration fee of AUD $150.00 per person, ticket or service, in addition to any fees charged by the airline or service provider.
Fare Difference: You are also responsible for any difference in fare or tax at the time of rebooking. If the new flight or service is more expensive than the original, you must pay the gap.
Process: All change requests must be submitted in writing. Changes are subject to availability and supplier approval.
Passports & Visas
It is your sole responsibility to ensure you hold a valid passport and all necessary visas for your itinerary.
Validity: Most countries require passports to be valid for at least 6 months beyond your return date.
Non-Australian Citizens: If you are travelling on a foreign passport, you are responsible for checking re-entry requirements for Australia.
Liability: Aishafin Travel is not liable for denied boarding, deportation, or any associated costs resulting from invalid or missing documentation.
Customs Regulations
Customs policies vary by country and may affect your travel experience. It is your responsibility to ensure compliance with all customs regulations at your destination and any transit points.
Declarations: You may be required to declare items such as food, medication, or currency upon arrival.
Inspections: Customs authorities may require you to open your luggage or provide documentation.
Multi-Leg Journeys: On some international connections (e.g., USA), you may be required to collect and recheck your baggage at the first port of entry.
Liability: Aishafin Travel is not liable for any delays, fines, or confiscations resulting from customs inspections or breaches.
Health & Travel Advice
It is your responsibility to ensure you have the appropriate vaccinations and health precautions for your destination.
Please consult your doctor and visit www.smartraveller.gov.au for current travel warnings and health advice.
Refusal of entry due to health requirements (e.g., lack of vaccination certificate) is at the traveller’s own risk and expense.
Special Requirements
All special requests (e.g., dietary meals, seating preferences, wheelchair assistance) must be requested at least 3 business days before departure.
While we will pass these requests to the airline or provider, they are subject to availability and provider approval and cannot be guaranteed by Aishafin Travel.
Minors & Guardianship
Children travelling without both parents (or with a guardian) may require legal written consent or specific documentation.
Airlines and immigration authorities are strict on preventing child trafficking. It is your responsibility to verify specific requirements with the relevant embassies / authorities.
Aishafin Travel is not liable if a minor is denied carriage due to insufficient guardianship documentation.
Low-Cost Airlines
Bookings made with Low-Cost Carriers (LCCs) often carry stricter rules.
Fares are typically non-refundable and non-changeable.
Ancillary services (baggage, meals, seat selection) usually incur extra fees.
Aishafin Travel acts solely as an intermediary and is not responsible for operational changes, schedule changes, or strict policies enforced by these airlines.
Limitation of Liability & Agency Errors
Third-Party Supplier Failure: Aishafin Travel acts as an agent. We are not the provider of the travel service. Therefore:
We are not liable for the acts, omissions, errors, or negligence of third-party suppliers (airlines, hotels, tour operators).
We are not liable for any injury, damage, loss, delay, or irregularity that may occur due to the actions of these suppliers.
Agency Negligence & Errors: We take great care to ensure accuracy. However, in the event that Aishafin Travel makes a direct error (e.g., booking incorrect dates contrary to your written instructions, or misspelling a name due to our clerical error):
Rectification: We will accept responsibility for the cost of correcting the specific error to match the original instructions.
Liability Cap: To the extent permitted by Australian Consumer Law, our total liability for any claim resulting from our own negligence or breach of duty is strictly limited to the value of the booking fees paid to us or the cost of re-supplying the specific service.
Exclusion of Consequential Loss: Under no circumstances is Aishafin Travel liable for any indirect or consequential loss. This includes, but is not limited to:
Loss of income, profits, or business opportunities.
Loss of enjoyment, stress, or disappointment.
Expenses incurred due to missed connections or schedule changes.
Contributory Negligence: We are not liable for errors caused by:
Ambiguous, incorrect, or incomplete instructions provided by you.
Your failure to check travel documents and alert us to errors immediately upon receipt.
🎓 Visa & Education Services Disclaimer
While Aishafin Travel provides expert guidance on visa applications and college / university enrolments, we act strictly in an advisory capacity.
No Guarantee of Outcome: Aishafin Travel cannot guarantee of the application outcome.
Immigration Decisions: The granting of a visa is at the sole discretion of the relevant Department of Home Affairs, Embassy, or Consulate. Aishafin Travel has no authority to grant visas and cannot guarantee the success of any application.
College / University Admissions: Acceptance into a course or institution is the sole decision of the University or Education Provider. We cannot influence their academic assessment or intake quotas.
Processing Times: Any processing times provided by us are estimates only. We are not responsible for delays caused by backlogs, medical checks, police checks, document verifications, or administrative pauses by the deciding authority.
Refusals & Refunds:
In the event that a visa is refused or a university application is declined on its merits (e.g., insufficient funds, health character, or academic scores), our professional service fees remain non-refundable.
You may also forfeit application fees paid directly to the government or institution.
Agency Errors & Liability: We strive for accuracy in all applications. However, in the specific event that an application is refused or delayed due to a proven clerical error or negligence by Aishafin Travel (e.g., entering data incorrectly contrary to your documents, or providing advice that was factually incorrect at the time it was given):
Remedy: We will re-process and re-submit the application at no additional professional service fee.
Liability Cap: To the extent permitted by law, our financial liability is strictly limited to the value of the service fees paid to us for that specific application.
Exclusions: We are not liable for consequential losses (such as missed flights, lost tuition deposits, or accommodation costs) resulting from the delay or refusal.
Policy Changes: We are not liable if advice becomes incorrect due to sudden changes in legislation or government policy that occur after our advice was given.
Best Value Promise & Pricing Policy
At Aishafin Travel, we are committed to offering the best overall value for your travel experience. We do not compete with automated “click-and-forget” booking engines; instead, we offer a level of protection, personalisation, and advocacy that low-cost aggregators cannot match.
Competitive Pricing Strategy: We endeavour to provide competitive fares for all international travel and tours. Our pricing reflects not just the seat or room, but the comprehensive service included in your booking, such as visa verification, entry rule checks, and itinerary optimisation.
Quality Over Cost: You may occasionally locate a lower “raw price” on an automated foreign website. Aishafin Travel reserves the right to decline matching these quotes where the competing offer does not provide comparable value or consumer protection. Our quotes differ because they include:
Australian Consumer Protection: We are a registered Australian business bound by the Competition and Consumer Act 2010 (Cth).
Pre-Travel Safety Checks: Verification of documents and health requirements.
Disruption Management: Real-time assistance if flights or itineraries are cancelled or schedules change.
“Like-for-Like” Comparisons: If you wish for us to review a competing quote, we are happy to do so to ensure you are receiving fair market value. However, the competing quote must be for a “Like-for-Like” itinerary, meeting all the following criteria:
Identical Product: The quote must be for the exact same flight, cruise cabin category, hotel room type, dates, airlines, and inclusions (baggage, meals, transfers, etc.).
Currency & Taxes: The price must be in Australian Dollars (AUD) and include all applicable taxes and surcharges.
Written Proof: You must provide a current, official written quote or screenshot from an Australian registered travel agency or airline website, dated within the last 24 hours.
Live Availability: The price must be currently available for immediate booking. We cannot match expired offers, “sold out” inventory, or pricing errors.
Payment Surcharges: To maintain the most competitive travel pricing, our base quotes reflect payment via cash or direct bank transfer.
Credit Card Fees: Payments made via Credit Card (Visa/Mastercard/Amex) incur a merchant surcharge (1.5% – 4.0%) which is passed on from our financial institution. This is standard industry practice in Australia.
Fee-Free Options: You may avoid these surcharges by paying via Direct Bank Transfer (EFT/Osko/PayID) or Cash payment.
Policy Exclusions: Our Best Value Promise applies to full-service travel consulting. Therefore, the following fare types are strictly excluded from any price comparison or matching requests:
Low-Cost Carriers (LCCs): Standalone flight-only bookings on budget airlines (e.g., Jetstar, AirAsia, Scoot, RyanAir, Vietjet) are excluded unless booked as part of a wider holiday package.
Coupons & Marketing Promotions: Prices reduced by the application of a coupon code, voucher, loyalty credit, cash-back offer, or specific marketing discount (including “Early Bird” agency discounts funded by the retailer rather than the airline / cruise / hotel, etc.).
Payment-Based Discounts: Fares that are conditional on using a specific payment method (e.g., “5% off if you pay with Amex” or “Afterpay” / “ZipPay” promotions).
Last-Minute & Clearance: “Distressed inventory” sales, Dutch auctions, or offers valid for less than 24 hours (e.g., “Only few seats left at this price”).
Membership & Corporate Rates: Prices are available exclusively to closed user groups, including (but not limited to) memberships, Frequent Flyer redemptions, airline staff travel, corporate login rates, and student-only portals.
Direct-Channel Exclusives: “Online-only” fares, mobile app-exclusive discounts, or airline / cruise / hotel website specials that are technically unavailable to travel agents via standard Global Distribution Systems (GDS).
Foreign Origin: Quotes from websites hosted outside of Australia, or quotes in a foreign currency (non-AUD), as these often exclude Australian GST and local consumer protection laws (ACL).
Errors & Opaque Fares: Airline / Cruise / Hotel / Agency pricing errors (mistake fares), auctions, or “Blind Booking” deals where the carrier or hotel name is not revealed until after payment.
Final Discretion: Travel pricing is dynamic. While we endeavor to beat any genuine quote, Aishafin Travel reserves the right to decline a price match request at our sole discretion if the competing price is below our cost price or violates supplier terms.
Cancellations & Refunds on Matched Bookings: Any booking confirmed under a price match request is strictly subject to the standard Cancellation & Refund policies outlined in these Terms & Conditions.
Agency Fees: If you cancel a price-matched booking, Aishafin Travel’s standard cancellation fee (15% of the booking value, capped at AUD $750pp) still applies.
Supplier Rules: Price-matched fares are often “instant purchase” or restrictive fares. These may be 100% non-refundable according to the airline or supplier’s rules.
No Waivers: Successfully beating a price does not waive any other terms, conditions, or fees associated with our services.
Final Notes
Supplier Terms: All bookings are subject to the specific terms and conditions of the respective service providers (airlines, cruise lines, hotels, tour operators, etc.).
Updates: These terms may be updated by Aishafin Travel at any time without prior notice. The terms applicable to your booking are those in effect at the time of payment.
